WAIVER, RELEASE OF LIABILITY, TERMS & CONDITIONS
Welcome! We are excited to have you join us for your upcoming retreat, workshop, training, event, or program.
Please carefully read this entire Agreement before participating in any activities offered by Mind & Body Complete Wellness LLC and/or Retreat Ranch (collectively referred to throughout this Agreement as “Mind & Body Complete,” “Retreat Ranch,” “MBC,” “we,” “our,” or “us.”)
By registering for or participating in any program, event, retreat, workshop, class, training, online course, or activity, you (“Participant,” “you,” or “your”) acknowledge that you have read, understood, and voluntarily agree to all terms contained in this Agreement.
If you do not agree to these terms, you should not participate in any Mind & Body Complete or Retreat Ranch activities.
This Agreement is intended to protect both you and Mind & Body Complete by clearly outlining the risks, responsibilities, policies, and legal terms associated with participation.
DEFINITIONS
For purposes of this Agreement:
Activities include any retreat, workshop, training, class, coaching session, online program, excursion, transportation, event, or experience organized, hosted, facilitated, or recommended by Mind & Body Complete or Retreat Ranch, whether occurring on-site, off-site, virtually, or during travel.
Program refers collectively to the specific retreat, event, workshop, course, or experience for which Participant has registered.
Premises refers to Retreat Ranch, any retreat venue, lodging property, transportation, activity location, or other site where Program activities occur.
Equipment includes, but is not limited to, yoga equipment, fitness equipment, art supplies, cooking equipment, horses and equestrian equipment, firearms used during supervised activities, welding equipment, pools, hot tubs, cold plunges, saunas, transportation vehicles, and any other equipment provided or used during participation.
ACTIVITIES COVERED
Participant understands that every retreat and program is unique and that activities may vary depending on the retreat location, itinerary, season, weather, and guest experience.
Activities may include, but are not limited to:
- Yoga, stretching, breathwork, meditation, mindfulness, and relaxation practices
- Fitness classes and movement sessions
- Hiking, walking trails, outdoor recreation, and nature experiences
- Horseback riding, equine-assisted activities, equine yoga, and interactions with horses and other ranch animals
- Art classes, pottery, candle making, painting, crafts, and creative workshops
- Cooking classes, wine tastings, food experiences, and culinary demonstrations
- Swimming pools, hot tubs, cold plunges, saunas, and other wellness amenities
- Sound healing, massage, wellness services, and educational presentations
- Skeet shooting or other supervised recreational activities where offered
- Welding, metalworking, or other supervised hands-on workshops where offered
- Domestic and international travel, sightseeing, transportation, excursions, and cultural experiences
- Free time during which Participant independently chooses activities
- Online classes, virtual retreats, recordings, and digital educational content
Participant understands that not every retreat includes every activity listed above, and additional activities of a similar nature may be offered throughout the Program.
Participant also understands that activities may be modified, substituted, postponed, or canceled due to weather, safety concerns, participant ability, instructor availability, operational needs, or circumstances beyond Mind & Body Complete’s control.
ASSUMPTION OF RISK
Participant understands that participation in the Program is voluntary and involves inherent risks that cannot be eliminated regardless of the care taken by Mind & Body Complete.
Participant knowingly and voluntarily assumes all risks associated with participation in the Program, whether known or unknown, foreseeable or unforeseeable.
These risks include, but are not limited to:
- Falls, slips, trips, or collisions
- Muscle strains, sprains, fractures, broken bones, or other orthopedic injuries
- Head injuries, concussions, or traumatic injuries
- Heat-related illness, dehydration, sun exposure, insect bites, allergic reactions, and environmental hazards
- Burns, cuts, bruises, or injuries associated with workshops, cooking, art projects, or equipment
- Risks associated with horseback riding, equine activities, and interactions with animals, including unpredictable animal behavior
- Risks associated with pools, hot tubs, cold plunges, saunas, lakes, rivers, or other bodies of water, including drowning
- Risks associated with supervised recreational activities such as skeet shooting or welding
- Exposure to food allergens or dietary sensitivities despite reasonable efforts to accommodate dietary requests
- Exposure to communicable illnesses, including COVID-19, influenza, and other viral or bacterial infections
- Injuries or damages occurring during domestic or international travel, including transportation delays, accidents, theft, political unrest, weather events, or acts of third parties
- Emotional discomfort that may arise during coaching, personal development exercises, mindfulness practices, or group discussions
Participant acknowledges that no activity is completely free of risk and accepts full responsibility for their participation.
Participant further understands that they are free to decline participation in any activity at any time.
HEALTH & MEDICAL ACKNOWLEDGEMENT
Participant certifies that they are physically and mentally capable of safely participating in the Program and have either consulted with their physician or independently determined that participation is appropriate.
Participant agrees to disclose any medical conditions, injuries, allergies, mobility limitations, dietary restrictions, medications, or other health concerns that could reasonably affect their participation or safety.
Participant understands that Mind & Body Complete is not a medical provider and does not provide medical diagnosis, treatment, therapy, or healthcare services during the Program.
Participant agrees to:
- Participate only within their personal physical and emotional limits.
- Modify or discontinue any activity that causes pain, dizziness, illness, or discomfort.
- Immediately notify a staff member of any injury, illness, or medical concern.
- Follow all safety instructions provided by retreat staff and activity facilitators.
Participant understands that emergency medical services may not always be immediately available depending on the retreat location.
In the event of illness or injury, Participant authorizes Mind & Body Complete to obtain emergency medical treatment if deemed reasonably necessary. Participant accepts full financial responsibility for all medical care, transportation, prescriptions, hospitalization, evacuation, or other related expenses incurred.
Participant understands that they are solely responsible for maintaining adequate health insurance and any other insurance coverage they deem appropriate for participation in the Program.
Participant further acknowledges that pregnancy, recent surgery, chronic medical conditions, or other health concerns may increase the risks associated with participation and agrees to consult an appropriate healthcare provider before attending if such conditions exist.
EQUIPMENT & SPECIALIZED ACTIVITIES
During the Program, Participant may use or participate in a variety of equipment and specialized activities depending on the specific retreat or event. These may include, but are not limited to:
- Yoga mats, blocks, bolsters, straps, blankets, resistance bands, weights, and other fitness equipment
- Horses and equestrian equipment
- Art, pottery, candle making, and craft supplies
- Commercial kitchen equipment and cooking tools
- Pools, hot tubs, cold plunges, saunas, and other wellness amenities
- Firearms and related equipment during supervised skeet shooting activities
- Welding equipment and metalworking tools during supervised workshops
- Transportation provided as part of the Program
- Any additional equipment or activities reasonably related to the Program
Participant agrees to use all equipment responsibly, follow all safety instructions provided by staff or instructors, and immediately report any damaged or malfunctioning equipment.
Certain activities carry additional inherent risks. Participant understands and voluntarily accepts these risks, including but not limited to:
- Equine Activities: Horses and other animals are unpredictable and may bite, kick, buck, stumble, or react unexpectedly despite proper training and supervision.
- Pools, Hot Tubs, Cold Plunges & Saunas: These amenities involve risks including drowning, slips and falls, dehydration, overheating, burns, allergic reactions, and other water-related injuries.
- Art, Candle Making & Creative Workshops: These activities may involve sharp tools, hot wax, open flames, chemicals, paints, solvents, dust, or other materials that may cause burns, cuts, allergic reactions, or property damage.
- Skeet Shooting: Firearms activities involve inherent risks including accidental discharge, hearing damage, eye injuries, flying debris, serious bodily injury, or death. Eye and hearing protection must be worn at all times.
- Welding & Metalworking: Welding activities involve high heat, sparks, sharp metal, heavy equipment, burns, eye injuries, cuts, smoke, and other inherent hazards. Required protective equipment must be worn at all times.
Participant agrees to follow all instructions, use all required safety equipment, and understands that failure to follow safety guidelines may result in immediate removal from the activity or Program without refund.
TRAVEL RELEASE
Many Programs include domestic or international travel, transportation, excursions, lodging, meals, and activities provided by independent third parties.
Participant understands that Mind & Body Complete serves as the organizer and facilitator of the Program but does not own, operate, or control airlines, hotels, transportation providers, restaurants, activity vendors, excursion operators, guides, or other third-party service providers.
Participant voluntarily assumes all risks associated with travel, including but not limited to:
- Airline delays, cancellations, missed connections, or schedule changes
- Lost, stolen, or delayed baggage
- Vehicle accidents
- Weather-related disruptions
- Illness or injury while traveling
- Acts or omissions of third-party vendors
- Political unrest, civil disturbances, natural disasters, or government actions
- Theft or loss of personal belongings
- Passport, visa, customs, or immigration issues
Mind & Body Complete is not responsible for expenses, losses, damages, injuries, delays, cancellations, inconvenience, or additional costs resulting from any third-party travel provider or circumstances beyond its reasonable control.
Participant is solely responsible for obtaining and maintaining all required travel documents, including passports, visas, vaccinations, and any other entry requirements applicable to the destination.
Participant understands that failure to obtain proper documentation does not entitle Participant to any refund or credit under the Cancellation Policy.
RELEASE OF LIABILITY & INDEMNIFICATION
To the fullest extent permitted by law, Participant voluntarily releases, waives, discharges, and agrees not to sue Mind & Body Complete Wellness LLC, Retreat Ranch, its owners, members, officers, directors, employees, contractors, instructors, volunteers, affiliates, representatives, agents, successors, assigns, and property owners (collectively, the “Released Parties”) from any and all claims, demands, causes of action, liabilities, damages, costs, expenses, attorney’s fees, or losses arising out of or related to Participant’s participation in the Program.
This release includes, but is not limited to, claims arising from:
- Personal injury
- Illness or disease
- Emotional distress
- Disability
- Property damage or loss
- Economic loss
- Wrongful death
- Negligence of the Released Parties, to the fullest extent permitted by applicable law
Participant acknowledges that participation is entirely voluntary and expressly assumes all risks associated with participation.
Participant further agrees to indemnify, defend, and hold harmless the Released Parties from any claims, liabilities, damages, judgments, costs, or expenses (including reasonable attorney’s fees) arising from:
- Participant’s actions or omissions;
- Participant’s violation of this Agreement;
- Damage caused by Participant to persons or property; or
- Claims brought by third parties arising from Participant’s conduct.
Nothing in this Agreement is intended to waive rights that cannot legally be waived under applicable law.
DEPOSITS, PAYMENTS, CANCELLATIONS & TRANSFERS
Payments
A non-refundable deposit equal to fifty percent (50%) of the retreat price is required to reserve Participant’s space unless otherwise stated.
The remaining balance is due by the payment deadline specified for the Program. Failure to make timely payment may result in cancellation of Participant’s reservation without refund.
If registration occurs after the final payment deadline, payment in full is required at the time of registration.
Submission of payment constitutes acceptance of this Agreement.
Cancellation Policy
Due to the advance planning, staffing, lodging commitments, transportation arrangements, vendor contracts, and expenses associated with operating retreats, all retreat payments are non-refundable under all circumstances.
This policy applies regardless of the reason for cancellation, including but not limited to:
- Illness or injury
- COVID-19 or other communicable illnesses
- Family emergencies
- Death of a family member
- Pregnancy
- Work obligations
- Schedule conflicts
- Flight cancellations or delays
- Passport or visa issues
- Weather events
- Natural disasters
- Government restrictions
- Travel interruptions
- Personal circumstances
- Failure to obtain required travel documentation
- Any other unforeseen event
No refunds, credits, or transfers to another retreat date will be provided.
Transfer of Reservation
If Participant is unable to attend, Participant may transfer their reservation to another individual for the same retreat and same retreat dates, provided that:
- Mind & Body Complete approves the replacement Participant;
- The replacement Participant completes all required registration forms, waivers, and agreements;
- All outstanding balances have been paid in full; and
- The transfer is completed no later than fourteen (14) days before the retreat begins, unless otherwise approved in writing.
Transfers are not permitted to a different retreat, destination, or future retreat date.
The original Participant remains financially responsible until the replacement Participant has been fully approved by Mind & Body Complete.
Retreat Cancellation by Mind & Body Complete
Mind & Body Complete reserves the right to cancel, postpone, relocate, modify, or reschedule any Program due to insufficient enrollment, instructor illness, venue issues, safety concerns, force majeure events, government restrictions, natural disasters, or any other circumstance beyond its reasonable control.
If Mind & Body Complete cancels a Program before it begins, Participant may choose either:
- A transfer of all monies paid toward another Mind & Body Complete retreat or program; or
- A refund of amounts paid directly to Mind & Body Complete for the canceled Program.
Mind & Body Complete shall not be responsible for reimbursing airfare, lodging, travel expenses, passport fees, visas, vaccinations, meals, lost wages, or any other expenses not paid directly to Mind & Body Complete.
Early Departure
No refunds, credits, or partial reimbursements will be issued if Participant:
- Arrives late;
- Departs early;
- Voluntarily withdraws from the Program;
- Chooses not to participate in any scheduled activities; or
- Is removed from the Program due to unsafe, disruptive, abusive, illegal, or inappropriate conduct.
No Exceptions
Mind & Body Complete maintains a strict no-exception cancellation policy. Participant acknowledges that making exceptions would unfairly shift financial responsibility to other participants or the business.
Participant understands that retreat pricing has been established with this cancellation policy in mind.
Required Travel Insurance
Travel insurance is required for all retreats offered by Mind & Body Complete and Retreat Ranch.
Participant is solely responsible for purchasing and maintaining travel insurance that adequately protects their investment and personal circumstances. At a minimum, Participant is encouraged to obtain coverage for:
- Trip cancellation
- Trip interruption
- Medical expenses
- Emergency medical evacuation
- Lost, stolen, or delayed baggage
- Travel delays
- Other coverages appropriate to Participant’s individual needs
Because all retreat payments are non-refundable, Participant is strongly encouraged to consider purchasing a Cancel For Any Reason (CFAR) policy if they wish to seek reimbursement for cancellations that may not be covered under a standard travel insurance policy. Participant understands that CFAR coverage typically must be purchased shortly after making the initial trip payment and that coverage varies by provider.
Mind & Body Complete does not sell, administer, verify, or guarantee travel insurance coverage and is not responsible for any denial, limitation, or delay in reimbursement by an insurance provider. A provider may be recommended to you, but you are welcome to use any provider you choose and feel comfortable with.
Failure to purchase adequate travel insurance does not modify, waive, or override any portion of this Agreement or the Cancellation Policy.
Virtual Programs
Unless otherwise stated, payments for online courses, virtual retreats, workshops, memberships, digital products, downloadable materials, recordings, and one-day events are non-refundable.
If a recording of a live virtual event is provided, Participant acknowledges that access to the recording constitutes fulfillment of the purchased service.
PHOTOGRAPHY & VIDEO RELEASE
Participant understands that photographs, video recordings, audio recordings, drone footage, testimonials, and other media may be captured during the Program.
Unless Participant provides written notice to Mind & Body Complete before the Program begins requesting not to be individually featured, Participant grants Mind & Body Complete / Retreat Ranch the irrevocable, perpetual, worldwide, royalty-free right to photograph, record, reproduce, edit, publish, distribute, display, and otherwise use Participant’s name, image, likeness, voice, and testimonial for lawful business purposes, including but not limited to:
- Marketing and advertising
- Social media
- Websites
- Printed materials
- Educational content
- Promotional videos
- Future retreat materials
- Public relations and media
Participant understands that retreats are group experiences and that it may not be possible to completely avoid appearing incidentally in photographs or videos, even if Participant requests not to be individually featured.
Participant waives any right to inspect, approve, or receive compensation for the use of such photographs, videos, recordings, or other media and releases Mind & Body Complete from any claims arising from their use.
PARTICIPANT CODE OF CONDUCT
Mind & Body Complete is committed to providing a safe, welcoming, respectful, and enjoyable environment for all participants.
Participant agrees to conduct themselves in a respectful and considerate manner toward fellow participants, instructors, staff members, volunteers, vendors, and local communities throughout the Program.
Participant agrees to:
- Follow all safety instructions and Program guidelines.
- Respect retreat property, accommodations, equipment, animals, and facilities.
- Treat all participants and staff with courtesy and respect.
- Refrain from harassment, discrimination, abusive language, violence, intimidation, or disruptive behavior.
- Consume alcohol responsibly and never participate in activities while impaired by alcohol or illegal drugs.
- Comply with all applicable local, state, federal, and international laws.
Mind & Body Complete reserves the right, in its sole discretion, to refuse participation or remove any Participant from any activity or from the Program without refund if Participant’s behavior is deemed unsafe, disruptive, abusive, threatening, illegal, intoxicated, or otherwise interferes with the safety or enjoyment of others.
Participant shall be solely responsible for any expenses resulting from such removal, including transportation, lodging, and travel costs.
PERSONAL PROPERTY
Participant is solely responsible for the security and safekeeping of all personal belongings brought to the Program.
Mind & Body Complete is not responsible for lost, stolen, damaged, or misplaced personal property at any time before, during, or after the Program, including items left in accommodations, common areas, vehicles, or activity locations.
Participants are encouraged to keep valuables secure and avoid bringing unnecessary valuables to the retreat.
Items left behind may be shipped to Participant upon request. Participant agrees to pay all shipping costs plus any applicable handling fee. Items not claimed within thirty (30) days may be donated, discarded, or otherwise disposed of at the sole discretion of Mind & Body Complete.
ALCOHOL & DRUG POLICY
Participant understands that alcoholic beverages may be served or consumed during certain Programs. Consumption of alcohol is always voluntary and is solely the responsibility of the Participant.
Participant agrees to consume alcohol responsibly and acknowledges that excessive alcohol consumption may increase the risk of injury to themselves and others.
Participant agrees that they will not participate in yoga, horseback riding, equine activities, skeet shooting, welding, swimming, use of the sauna or cold plunge, or any other activity designated by Mind & Body Complete while impaired by alcohol, illegal drugs, or any substance that may affect judgment, coordination, or the ability to safely participate.
The possession, use, or distribution of illegal drugs or controlled substances not prescribed to the Participant is strictly prohibited during the Program.
Mind & Body Complete reserves the right, in its sole discretion, to refuse participation in any activity or remove a Participant from the Program without refund if the Participant appears intoxicated, impaired, or poses a risk to themselves or others.
Participant accepts full responsibility for any injury, damage, loss, or legal consequences resulting from their use of alcohol or other substances.
EMERGENCY MEDICAL AUTHORIZATION
Participant authorizes Mind & Body Complete and its representatives to obtain emergency medical treatment on Participant’s behalf if, in their reasonable judgment, such treatment is necessary and Participant is unable to make or communicate medical decisions.
Participant understands that Mind & Body Complete is not obligated to provide medical care, first aid, transportation, or emergency services and that emergency medical assistance may not be immediately available depending on the location of the Program.
Participant authorizes emergency medical personnel, physicians, hospitals, and other healthcare providers to administer medical treatment deemed reasonably necessary.
Participant agrees to be solely responsible for all costs associated with emergency medical care, hospitalization, transportation, evacuation, prescriptions, and any related medical expenses incurred during or after the Program.
Participant releases Mind & Body Complete from any liability arising from decisions made in good faith regarding emergency medical care or efforts to obtain such care.
FORCE MAJEURE
Mind & Body Complete shall not be liable for any delay, modification, interruption, postponement, relocation, or cancellation of any Program resulting from circumstances beyond its reasonable control.
Such circumstances include, but are not limited to:
- Acts of God
- Severe weather
- Hurricanes, floods, wildfires, earthquakes, or other natural disasters
- Epidemics or pandemics
- Government orders or travel restrictions
- War, terrorism, civil unrest, or political instability
- Transportation disruptions
- Utility failures
- Venue closures or property damage
- Labor disputes
- Instructor illness or emergency
- Any other event that makes the Program unsafe, impractical, or impossible to operate.
In the event of a Force Majeure occurrence, Mind & Body Complete may, at its sole discretion:
- Postpone the Program;
- Reschedule the Program;
- Relocate the Program;
- Modify the itinerary or activities;
- Provide a credit toward a future Program; or
- Refund amounts paid directly to Mind & Body Complete if it determines a refund is appropriate.
Mind & Body Complete shall not be responsible for airfare, hotel accommodations, passport fees, travel expenses, lost wages, or any other costs incurred by Participant that were not paid directly to Mind & Body Complete.
ARBITRATION & GOVERNING LAW
This Agreement shall be governed by and interpreted in accordance with the laws of the State of Texas, without regard to its conflict of law principles.
The parties agree to make a good-faith effort to resolve any dispute informally before initiating legal proceedings.
If a dispute cannot be resolved through informal discussions, any claim, controversy, or dispute arising out of or relating to this Agreement or Participant’s participation in any Program shall be resolved exclusively through binding arbitration in the State of Texas in accordance with the applicable rules of the American Arbitration Association (AAA), unless the parties mutually agree to another arbitration provider.
The arbitrator’s decision shall be final and binding and may be entered as a judgment in any court of competent jurisdiction.
To the fullest extent permitted by law:
- Each party waives the right to a trial by jury.
- Each party waives the right to participate in any class action or representative proceeding.
- Claims shall be brought only in an individual capacity.
- The prevailing party in any arbitration or legal action arising from this Agreement shall be entitled to recover its reasonable attorney’s fees and costs, to the extent permitted by applicable law.
If any portion of this arbitration provision is determined to be unenforceable, the remaining provisions shall remain in full force and effect.
SEVERABILITY
If any provision of this Agreement is determined by a court or arbitrator of competent jurisdiction to be invalid, illegal, or unenforceable, that provision shall be modified or interpreted only to the extent necessary to make it enforceable, or if modification is not possible, it shall be severed from this Agreement. The remaining provisions shall continue in full force and effect and shall not be affected by the invalidity or unenforceability of any single provision.
ENTIRE AGREEMENT
This Agreement constitutes the entire understanding between Participant and Mind & Body Complete regarding participation in the Program and supersedes all prior discussions, representations, understandings, agreements, or communications, whether oral or written, relating to the subject matter of this Agreement.
No waiver, modification, amendment, or exception to any provision of this Agreement shall be valid unless made in writing and signed by an authorized representative of Mind & Body Complete.
Mind & Body Complete reserves the right to update or modify its policies, procedures, and Program information from time to time. Any changes will apply prospectively and will not affect agreements already accepted by Participant unless required by law or mutually agreed upon in writing.
ELECTRONIC SIGNATURE
Participant acknowledges and agrees that this Agreement may be executed electronically, including through an online registration system, digital signature platform, or by selecting an “I Agree,” “Accept,” or similar acknowledgment during registration.
Participant agrees that such electronic acceptance constitutes their legal signature and has the same force and effect as an original handwritten signature.
By electronically accepting this Agreement, Participant certifies that they are at least eighteen (18) years of age or, if under the age of eighteen, that this Agreement has been accepted by their parent or legal guardian, who agrees to be bound by its terms on the Participant’s behalf.
Participant further acknowledges that they have had adequate opportunity to read this Agreement, ask questions, seek independent legal advice if desired, and voluntarily agree to all of its terms.
PARTICIPANT ACKNOWLEDGEMENT
By registering for and participating in any Program offered by Mind & Body Complete or Retreat Ranch, Participant acknowledges and agrees that they:
- Have carefully read and fully understand this Waiver, Release of Liability, Terms & Conditions, and all related policies.
- Understand that participation in the Program involves inherent risks, including the possibility of serious injury, illness, disability, property damage, emotional distress, or death.
- Voluntarily assume all risks associated with participation in the Program.
- Release and waive certain legal rights as described in this Agreement, including the right to bring certain legal claims against Mind & Body Complete and the Released Parties.
- Agree to the Deposits, Payments, Cancellation & Transfer Policy.
- Understand that all retreat payments are subject to the stated cancellation policy.
- Understand that travel insurance is required and accept full responsibility for obtaining appropriate coverage.
- Agree to the Photography & Video Release.
- Agree to abide by the Participant Code of Conduct and all safety instructions provided during the Program.
- Certify that all information provided during registration is accurate and complete to the best of their knowledge.
- Agree that this Agreement shall remain binding upon themselves, their heirs, personal representatives, executors, administrators, successors, and assigns.
Participant further acknowledges that they are entering into this Agreement freely and voluntarily, without coercion or undue influence, and understand that they are giving up certain legal rights by accepting its terms.
By checking the required acknowledgment box, signing electronically, or otherwise registering for the Program, Participant confirms that they have read, understood, and agree to be legally bound by every provision of this Agreement.
TRAVEL RELEASE OF LIABILITY & TRAVEL INSURANCE WAIVER AS APPLICABLE
In consideration for being allowed to participate in this Program, on behalf of myself and my next of kin, heirs and representatives, I release from all liability and promise not to sue Mind & Body Complete/Retreat Ranch and their employees, officers, directors, volunteers and agents (collectively “MBC”) from any and all claims, including claims of MBC’s negligence, resulting in any physical or psychological injury (including paralysis and death), illness, damages, or economic or emotional loss I may suffer because of my participation in this Program, including travel to, from and during the Program.
I am voluntarily participating in this Program. I am aware of the risks associated with traveling to/from and participating in this Program, which include but are not limited to physical or psychological injury, pain, suffering, illness, disfigurement, temporary or permanent disability (including paralysis), economic or emotional loss, and/or death. I understand that these injuries or outcomes may arise from my own or other’s actions, inaction, or negligence; conditions related to travel; or the condition of the Program location(s). Nonetheless, I assume all related risks, both known or unknown to me, of my participation in this Program, including travel to, from and during the Program.
I agree to hold MBC harmless from any and all claims, including attorney’s fees or damage to my personal property, that may occur as a result of my participation in this Program, including travel to, from and during the Activity. If MBC incurs any of these types of expenses, I agree to reimburse MBC. If I need medical treatment, I agree to be financially responsible for any costs incurred as a result of such treatment. I am aware and understand that I should carry my own health insurance.
I understand and agree that ALL retreat payments are non-refundable under any circumstances, including but not limited to illness, injury, family emergency, weather events, travel disruptions, pandemics, government restrictions, or personal changes in circumstances.
I acknowledge that travel insurance is required for participation in this Program and is solely for my personal protection. Mind & Body Complete / Retreat Ranch (“MBC”) does not provide travel insurance, does not verify coverage, and does not guarantee reimbursement of any kind.
I understand that standard travel insurance policies may only reimburse prepaid, non-refundable expenses for specific covered reasons. Because this retreat is non-refundable, I have been advised to purchase travel insurance that includes Cancel For Any Reason (CFAR) coverage if I wish to have the option of partial reimbursement should I need to cancel for reasons not otherwise covered by a standard policy.
I acknowledge and understand that:
CFAR coverage must typically be purchased within 14–21 days of my initial payment
CFAR policies generally reimburse only a portion (not 100%) of prepaid, non-refundable costs
Coverage terms, exclusions, and reimbursement amounts vary by provider and policy
It is my sole responsibility to review policy details and ensure the retreat cost is fully insured if desired
I understand that MBC is not responsible for:
My failure to purchase travel insurance
My failure to purchase CFAR coverage within required timeframes
Any denial, delay, or limitation of reimbursement by an insurance provider
Any airfare, lodging, retreat fees, or travel-related expenses lost due to cancellation or interruption
Proof of travel insurance is not required; however, I fully acknowledge that failure to obtain appropriate coverage does not alter or override MBC’s non-refundable cancellation policy.
I understand that travel insurance options may be found through third-party comparison platforms such as TravelInsurance.com, or similar providers, though I am free to use any insurance provider of my choosing.
I expressly agree that if I am unable to attend the Program for any reason, including but not limited to illness, injury, COVID-related circumstances, death in the family, or travel interruption, I am solely responsible for seeking any reimbursement through my travel insurance provider, and I release MBC from any obligation to refund fees of any kind.
You agree that you have read this Waiver and fully understand its contents. You also agree to be bound to all of its terms.
DEPOSIT, BALANCES & CANCELLATION POLICY
NOTICES: Changes/Cancellations
- No Refunds: all bookings are final and no refunds will be issued for cancellations or changes. This includes family, health, death and other emergency situations.
- Travel Insurance: To protect your investment, travel insurance is required in order to cover unexpected cancellations, delays or other unforeseen circumstances. We don’t ask for proof of insurance as it is for your own protection due to our no-refund policy.
I, herein the Participant, hereby agree to and accept the Payment submitted by Participant.
Participant accepts and agrees that the 50% Deposit amount and all payments are non-refundable under any and all circumstances (see above for required insurance). The 50% Deposit amount (or full amount) is transferrable to another person for the SAME retreat, not to another retreat date. Deposit is 50% of the total retreat amount regardless if the full amount is paid at booking.
Note: It is required to purchase travel insurance that also covers the cost of your retreat so that you are covered for cancellation.
For virtual retreats/one day events/online courses: all monies/donations paid are non-refundable under any and all circumstances. They may be transferrable up to 72 hours prior to start date to another event or person. Even if participant cannot attend the live event, participant understands that a recording of the event will be provided and constitutes attendance.
The submission of application and payment to “MBC” is binding. Participant is personally responsible for all mandatory payments.

I am legally able to sign and voluntarily agree to and accept all text stated above in the Mind & Body Complete TERMS & CONDITIONS via digital authorization by checking the box stated: Participant Deposits, Cancellations Info, Waivers and Agreements.
